Accounting and billing processes in TOTAL

This document explains ways to manage your accounting and billing information using TOTAL.

The accounting process in TOTAL differs from WinTOTAL Aurora's, but is still just as easy.  XSite Billing is still available with the same Business Management tools, but you can also use TOTAL's SmartFilters, or export your data to QuickBooks for more complex data management.  Select a tab below for more information on each option:

If you've been using your XSite's Business Management for accounting, your best option is to continue to use your XSite.  All of your existing billing information is already there, and you won't have to setup any new products in a new system.  The new workflow process is just as easy as before:

  1. First, manually create an order on your XSite.
  2. Now, open TOTAL Connect and export the order you just created to TOTAL's Appraisal Desktop.
  3. After you've exported the order, open it in TOTAL and complete it as you normally would.
  4. When you're ready to deliver your report, choose to deliver the report via TOTAL Connect.  After delivery, TOTAL Connect syncs the report from TOTAL with the order on your XSite and marks it as complete.
    If needed, you can also manually enter billing information, invoices, and payments from your XSites Business Management.

For easy billing management and invoice tracking, TOTAL offers SmartFilters.  Track paid and unpaid invoices for specified report folders by date range, filter by Client, and edit invoices directly from the Appraisal Desktop.

If you've moved to TOTAL from WinTOTAL Aurora, you'll need to move your WinTOTAL reports to a TOTAL folder in order to track or view the invoices in SmartFilters.  For more information about SmartFilters, click here.

If you've been using WinTOTAL's Desktop Billing for accounting and have moved to TOTAL, QuickBooks is a similar option that provides complex accounting tools for your data.

If you're looking for a more comprehensive tool for your billing with features such as reporting or invoicing analysis, use our QuickBooks integration.  Here's a basic rundown of how to get QuickBooks up and running with TOTAL:

  1. First, install QuickBooks and configure your company, product, and invoice information.
  2. Now, export your WinTOTAL reports to QuickBooks to transfer your current Desktop Billing and accounting information.
