Sending WinTOTAL Reports through third-party webmail

If you use webmail like Yahoo, Gmail, or something similar to send your reports as an attachment, this doc will show you the basics of how to create the file and attach it to your message.

In order to send your report in WinTOTAL format as an attachment through the webmail client such as Gmail, Outlook.com, or Yahoo! Mail you must first save the report into a folder you can easily access.  Depending on whether you wish to send the report to another appraiser or to your client, you may also need to create a PDF.  Refer to the appropriate sections below for exact steps on these processes.

To send the report to your client(s):

  1. With your report open in WinTOTAL, click File, Print to PDF from the menus.
  2. In the print screen, double-click to mark the pages you wish to include in your PDF and then click the Click here for more printing options link to the bottom right corner of the screen if your advanced printing options are not already visible to the right.
  3. Click Edit Advanced PDF Settings.
  4. Uncheck the Do not prompt for filename box and click OK.
  5. Click OK to print your PDF.
  6. When the Save PDF As screen appears, type a File Name for your PDF into the box provided and choose a folder you can easily access in which to save your PDF.  A common place to save files for easy access, for instance, is the Desktop on your computer.
  7. Click Save to generate the PDF in the specified folder.
  8. When the PDF is complete, open your webmail provider (Gmail, Yahoo!, Outlook.com, etc) and compose a new e‑mail message.
  9. Fill in all pertinent information such as the recipient's e‑mail address, a subject, and body of the message.
  10. Find and click the Attach or Insert button.  While the label for this button may vary, it's often designated by an icon that resembles a paper clip and is typically located in the toolbar above the body of the message.
  11. Browse to the location in which you stored your PDF file.  For instance, if you saved the PDF file to your Desktop, you'd browse to your Desktop.
  12. Find and click to select the PDF file you created.  Then, click Open to attach your PDF file.
  13. Finally, send the message as you would any other e‑mail message and your PDF file will accompany the message.

To send the report to another appraiser(s):

  1. In the Appraisal Desktop, click Folder, Attach Directory from the menus.
  2. In the screen that appears, mark the This computer only option and click Browse.
  3. Find and click to select your Desktop from the list of folders that appears.  Then, click OK.
  4. Click OK and OK again.  This creates a virtual copy of your Desktop inside of WinTOTAL.
  5. Now, find and click to select the report file you wish to send to another appraiser inside the Appraisal Desktop.
  6. Click Move/Copy from the toolbar at the top of the screen.  Then, mark the Copy option, select the Desktop folder in the list and click OK.
  7. Close the Appraisal Desktop and open your webmail provider (Gmail, Yahoo!, Outlook.com, etc) and compose a new e‑mail message.
  8. Fill in all pertinent information such as the recipient's e‑mail address, a subject, and body of the message.
  9. Find and click the Attach or Insert button.  While the label for this button may vary, it's often designated by an icon that resembles a paper clip and is typically located in the toolbar above the body of the message.
  10. Browse out to your Desktop and click to select the report file you just saved to your Desktop.
  11. Then, click Open to attach your file.
  12. Finally, send the message as you would any other e‑mail message and your file will accompany the message.
