In some cases you may need to issue a refund to one of your clients or
account for a chargeback that your client completed. While refunds allow you to
actually deposit money back into your clients' account, chargebacks simply log
that your client coordinated a return of funds with your merchant account
provider behind the Appraiser XSite credit card processing system. What this
difference means to you is that the process of issuing refunds is exactly the
same process as charging a card (except in reverse). Chargebacks have no
processes to complete after you log them as they are simply an update to your
XSite accounting logs.
To issue a refund to your client...
- From your credit card processing
tools, click Transactions in the Billing
pane on the left.
- Find the transaction to which you need to apply a refund and click the
credit card icon
to the left of it.
- When the transaction details appear, type a refund amount into the
Amount field or simply leave it as is to refund the entire
amount.
- As necessary, check the e-mail invoice box to automatically notify the
client of the refund once it's processed.
- Click Process to issue the refund.
- Once the transaction processes, a confirmation appears. Click
Invoice to print out a copy of the invoice or click
Close to close the window.
To log a client chargeback...
- From your credit card processing
tools, click Transactions in the Billing
pane on the left.
- Find the transaction to which you need to apply a chargeback and click the
credit card icon
to the left of it.
- When the transaction details appear, type a chargeback amount into the
Amount field or simply leave it as is to chargeback the
entire amount.
- Click Process to issue the refund.
- Once the transaction processes, a confirmation appears. Click
Invoice to print out a copy of the invoice or click
Close to close the window.
